• Names, email addresses, phone numbers, and company names of (a) clients who engage ClearOak and (b) their team members invited to AI training preparation interviews
• Voice recordings and transcripts of AI discovery interviews
• Workflow and operational information shared during interviews
• Standard web analytics (IP address, browser, page views)

3. How We Use Information

• Deliver consulting and AI training services
• Send SMS messages with invite links to AI discovery interviews
• Generate transcripts and operational insights from interviews
• Communicate about engagements, scheduling, and follow-ups

We do not sell personal data. We do not share phone numbers with third parties for marketing.

4. SMS Messaging Specifically

Phone numbers collected are used only to send transactional SMS related to the consulting engagement. SMS messages may include AI discovery interview links, reminders, and engagement-related notifications. Phone numbers are entered into our system by the client owner who has confirmed consent with each team member before adding them. Recipients can reply STOP at any time to opt out. Reply HELP for assistance.

5. How We Share Information

With service providers (Twilio for SMS, Retell for voice AI, Anthropic for AI processing, Notion for workspace management, Vercel for hosting) only as needed to deliver services. With law enforcement if legally required.

6. Data Retention

We retain interview data and operational records for the duration of the client engagement plus 24 months. Phone numbers used for SMS are retained while the engagement is active.

7. Your Rights

Request access, correction, or deletion of your information by emailing john@clearoakconsulting.com.

8. Cookies

We use cookies for authentication and analytics. No third-party advertising cookies.

9. Children

Services are not directed to anyone under 18.
